If you are looking for a conference venue to present your next course, meeting or seminar, it is of vital importance not to just commit with the first venue that you find on the internet. The venue you choose and the conference facilities available at this venue, will actually play a huge role in the success of your event!
When browsing the net for a couple of possible venues, keep the following guidelines in mind:
The venue should be within quick and easy access from all major road networks. It is no use having the most beautiful conference facilities if your venue is situated so far off the beaten track that four wheel drive vehicles are required to reach the venue! Keep in mind that most conferences start early morning and attendees will have to battle peak hour traffic on the way there. Venues which are only a short drive from a highway or other main road are for that reason a popular choice!
Free parking. Don't laugh, but some conference venues charge a parking fee if you want to park inside their premises. This is enough to quickly upset a number of attendees, especially as most people only drive around with credit cards instead of cash and having to pay up or park outside is really not the best approach, no matter how fancy the conference facilities are!
Dedicated support staff. What if you have a problem connecting your laptop to their big screen to do your presentation? Or what will happen if there is suddenly a power outage in the middle of the conference? Will you have to run around like a chicken without a head or will the conference venue have staff to immediately deal with the situation?
Does the venue offer a choice of rooms? Some conference venues cater only for very large or very small groups. If you are looking for a venue for only a couple of delegates, you might end up paying too much if booking a large venue... and your delegates might also end up looking like lost souls in a stormy sea if you only have 10 chairs in a room equipped for 300 people. The opposite is also true - if you need to cram 100 people into a room better suited for 50 people, you will end up with a lot of irritated and hot attendees!
Do they offer all the necessary technology that you might require? Not all venues are equipped with high speed broadband and fancy projectors. Some venues don't even include basic items such as flip charts and projectors as part of their package, and you will end up needing a wheelbarrow to get all your equipment to the venue.
Good food and drink is also vital! As lunch and tea breaks form a vital break from the course or event, this is often something that delegates are especially looking forward to. Make sure that the venue can cater for specific meal requirements.
Finding good conference facilities can be tricky, but with a bit of homework you should be able to plan a fantastic event!
