Create a Web Version of Your Email Newsletter

To avoid any confusion if your recipient have got you have mailed him or not? The best idea is to provide them with the option for both HTML format and the Plain Text format. This will provide them to open your email with the format they can support. The fact is today most of the email clients are capable of supporting HTML but the problem is with those who still are using the old versions of Lotus Notes or AOL, so they might not support the email based on the HTML format so your email will appear to them all distorted. So, providing your email with both options means that it will be viewed in the same way as was intended.

Ponte to keep in mind:

  • Don't forget to include a "view web version" link at the top of the email. This link will be automatically generated. Also add this "view Web Version" link to the email footer or the admin areas of your email.
  • While composing keep in mind and include an option for "Format Preferences" to your email. The format preferences are HTML and Plain Text. For your reader's assistance add a note which like this one: Text is recommended if the user is using Eudora Light, Eudora Pro 3 and below, Lotus Notes versions below R5 or AOL 5.0 and under)
  • Be sure to include a link to a "profile Update". This link will enable your recipient to change the format of your mail as required.

These points can help you free from fear if your message is conveyed or not and also help your business pace up.

Keep HTML Emails to 500-650 Pixels in width

Have you ever noticed that the email newsletters you receive mostly have the same width? Actually the reason behind this being in equal width is that from the fear of the inconvenient breakage of the sentence by different software, the emails are formatted to have the equal and passable range of the characters. The HTML measures these characters as pixel and the range is 500-650 pixels.

Formerly it was not in the practice. But recently this pixel width has been added to the most of the reputed and known email services in their formats. The three popular companies rendering email services i.e. Yahoo! Mail, hotmail and Gmail are using this HTML pixel range for email composition. They are presenting 500-650 pixel range to every user, this range varies on the basis of the user's screen resolution settings.

In other words we can say that if you have composed the lines or messages which are wider than the pixel range then you have to scroll horizontally to view the entire width of the message. As this scrolling horizontally to view a message may be OK with a website but forcing the reader to scroll horizontally for the perfect view is not beneficial and is avoided. This scrolling horizontal put you at the risk of losing a transaction or a reader as they must not pay much attention to the content of the email or at minimum your user will be annoyed..
